Due to the distributed nature of accounts at UCSB account management can be confusing. This page will hopefully provide some answers to your questions

Do I have multiple accounts, I use SSO to sign into everything?

YES, Multiple accounts use SSO. SSO is a sign in method, not an account by itself.

What kind of accounts do I have?

...

  1. UCSBnetID - Based on UCSB campus wide Identity. Used to sign into SSO portals.

  2. Google Connect - Email and Google apps like Google drive. Your default email is your UCSBnetID@ucsb.edu. Almost all other accounts at UCSB use google for email and give you additional email aliases. Defaults to campus SSO, but can be signed into using a variety of methods.

  3. College Level Accounts - The College of Engineering, like the other 4 Colleges that make up UCSB has their own account system. They are not mutually exclusive and people can have accounts from multiple colleges. CoE accounts grant you access to CoE resources such as the CSIL/Honea labs, CoE software, and CoE email aliases such as UCSBnetID@engineering.ucsb.edu and UCSBnetID@dept.ucsb.edu. Coe Account invites are sent to everyone who is taking CoE class or research units if they do not already have an account. They are not created automatically.

  4. Service accounts - These are accounts that provide you access to a particular service such as the UCSB Library or Adobe Federated ID for those whose departments have purchased Adobe Licenses through the Campus office of Software Licensing. Many accounts use SSO as a default, but can use their own logins if SSO is not available.

Note

As accounts are provided by different campus entities, they can have different usernames, passwords and expiration dates.

What is a UCSB NetID (UCSBnetID)?

...

Netid's are based on UCSB Identity records, which are automatically created for students, faculty, and staff. Campus affiliates and visitors may also have Identity records created to provide for access to UCSB netid based services.

If you need a UCSBnetID renewal please speak to either your home department or Enterprise Technology Services ETS/ITS. The College of Engineering and Engineering Computing Infrastructure (ECI) generally do not have the ability to renew UCSBnetIDs.

for more information see: https://www.identity.ucsb.edu/

...

UCSBnetID = campus level services, Connect = campus wide email, CoE = College of Engineering level services. A few departments such as ECE still have departmental accounts separate from CoE for departmental level services.

To see your current CoE information, please login to: https://accounts.engr.ucsb.edu/maintain/login

I got a notice my account is expiring, who do I talk to?

This will depend on which exact account is expiring. Please read all notices carefully and first verify they are actually from the account in question. Due to large amounts of spam and scams, if you have any questions, it may be better to not click any links in emails and instead go to the websites of the accounts in question directly.

Note

No UCSB entity will ever ask for your password or other personal info via email

  • UCSBnetIDs - please talk to your home department or Enterprise Technology Services ETS/ITS. The College of Engineering and Engineering Computing Infrastructure (ECI) generally do not have the ability to renew UCSBnetIDs.

  • CoE - ECI can help you if you email help at engineering.ucsb.edu

  • Departmental and service accounts - please talk to the department or service who originally provided the account to you.

What are the default expiration dates for the most common accounts?

  • UCSBnetID - rolling expiration date based on enrollment or employment or other affiliation with UCSB.

  • College of Engineering (CoE) - 30 days (1 month) after UCSBnetID expires assuming you are actively enrolled in CoE class or research units. For employees and affiliates, when your contract is renewed, your CoE expiration date can be manually set to be 30 days after the end of said contract. Please note that when you renew your UCSBnetID, such as getting a contract extension, we are not automatically informed unless you ask us to be informed. We can manually set expiration dates, but please note that UCSB policy is that all accounts have to have expiration dates. Accounts cannot be extended 'indefinitely' or "to graduation". Please see https://ucsb-engr.atlassian.net/wiki/spaces/EPK/pages/575373570/Account+Extension?src=search

  • Umail - not all students have umail accounts since they are provided by the College of Letters and Sciences. Umail expiration date is 13 months after UCSBnetID expiration as they do not provide any form of manual extension or alumni forwarding.

  • Google Connect - expires when the last alias is removed. If you only have a CoE account it will have the same expiration date as your CoE account. If you have a umail alias, Connect generally will expire a full year after CoE expiration when your umail expires.

Will my Google Connect account continue to work after CoE expiration?

If you have some other alias such as Umail, then your Google Connect account will continue to work after CoE expiration. You will not have access to CoE resources nor will you have access to your CoE aliases but the rest of your Google account should be unaffected.

If you do not have some other alias, then yes, when your CoE account is expired it may trigger Google Connect expiration as well. That is why we warn students whose CoE accounts are expiring that they may loose access.

What if I am still a student but am not taking CoE classes?

Automatic CoE extensions are based on affiliation with UCSB via class or research units or major. Please note that there can be up to a 2 week delay between when you enroll in classes and when you show up as enrolled in the Registrar’s database. If you are not a CoE major and not taking CoE classes, your account will eventually expire. Working with a professor on projects, papers, research, etc.. does count as “affiliation with the College of Engineering” and you can request a manual account extension. Please see https://ucsb-engr.atlassian.net/wiki/spaces/EPK/pages/575373570/Account+Extension?src=search

Does CoE expiration mean deletion?

No, expired accounts are archived but not immediately deleted. Its possible to sign up for classes in a future quarter and have your CoE account unarchived, reactivated, and extended to the end of the new quarter assuming less than 1 school year has passed since your account was expired.

What if I am leaving UCSB and do not qualify for an extension?

Different accounts have different guidelines, for UCSBnetIDs and Google Connect accounts, please see:

https://connect.ucsb.edu/accounts/connect-departmental-administrators/support-desk-guide-employees-and-students-leaving-ucsb

You can request alumni forwarding for your preferred CoE alias. It is only set up on request:

Can I keep my email address after I graduate? (Alumni Mail)

How do I access Google Connect if my UCSBnetID is expiring and DUO will stop working?

Please enroll in Google’s 2SV before leaving the university:
