How to forward email to another account for a specific address

Purpose

This is a rough How-To guide on forwarding an email directed to a specific address to another email.

Reason

With UCSB Connect Email merging different departments and services together, some people might want to have only specific email address forwarded to another account instead of having it on their UCSB Connect account.

Process

Here is what you need to do to have forwarding setup...

Setup/Create Forwarding Address

  1. Go to UCSB Connect Web App and connect your UCSB Connect Account
  2. Click on the gear icon () in the near upper right corner and go to Settings
  3. Click on Forwarding and Pop/IMAP
  4. Click on Add a forwarding address
  5. In the window titled Add a forwarding address, put in the email address you wish to forward to and click Next
  6. Confirm that you wish to forward mail to the address by clicking on Proceed
  7. Do the verification process to confirm the forwarding address.
  8. Once you have it verified, if you don't wish all your mail to be forwarded to the address, make sure you have Disable forwarding selected.

Create Filter to Forward Specific Receiving Email Address to Forwarding Address

Once you have the forwarding address set or if you already have it set, do the following:

  1. Go to UCSB Connect Web App and connect your UCSB Connect Account
  2. Click on the gear icon () in the near upper right corner and go to Settings
  3. Click on Filters and Blocked Addresses
  4. Scroll to the bottom and click on Create a new filter
  5. A window will pop up, you will want to put the email address you will want to have mail forwarded set here...

    For example, you want johndoe@engineering.ucsb.edu to be forwarded, but leave jdoe@ucsb.edu and jdoe@umail.ucsb.edu to stay on your UCSB Connect account, put in the To section johndoe@engineering.ucsb.edu.
  6. Optional - Add any other criteria you wish with regards to forward (IE: Subject having specific words or what not)

    Suggestion

    Click on Search to help show what will filter on to help refine your options.

  7. Click on Create filter
  8. Click on the check box next Forward it to: and then choose the forwarding address you want it to send to.
  9. Optional - You can check off some of the following:
    1. Skip the inbox - This will not leave it in the inbox for UCSB Connect, but it will still be searchable if need be.
    2. Mark as Read - Mark the message as read if you don't need to read it on the account.
    3. Apply the label - Apply a label for it to be filed away (Recommend Skip the inbox checked if you don't need it sitting in the inbox)
    4. Delete it - This deletes the message from UCSB Connect Mailbox (Only do this if you don't want it on your UCSB Connect account)
  10. Click on Create Filter to create the filter GMail should do.

From this point on, the filter will handle the message as requested.
